Bush Capital Lodge group accommodation facility is owned and operated by YMCA Canberra. General Information and Guidelines should be read and considered as part of the Booking Terms and Conditions.

Accounts: All accounts are to be paid in full on or prior to arrival. Our preferred method of payment is by direct deposit to our account. Please forward a copy of the transaction details as Remittance Advice to allow for ease of acquitting your account.

Bookings: All school and group bookings are to be made with the Bush Capital Lodge booking representative and will be secured on receipt of an initial non-refundable booking fee of $1,000.00 payable on confirmation. Bookings or changes will be confirmed by fax or email. Payment of this booking fee assumes you accept the conditions outlined in the Agreement to Bookings Terms and Conditions. This agreement is downloaded as part of the Booking Request Form.
Unless you are making a whole of Lodge booking ,as outlined below, BCL management cannot guarantee a booking will be in any particular part of the Lodge. BCL managment will endeavour to place group bookings in their preferred section of the lodge but final room allocation will be at BCL's discretion and dependent on final group numbers.
Deposit: A deposit of 20% of the total quoted charge is required 6 months prior to arrival to guarantee the booking. Bookings confirmed and not fixed with a full deposit may be subject to cancellation.
Cancellation: A cancellation refers to either a full or partial cancellation of a booking. Notification of cancellations must be made in writing no less than three months prior to arrival. Cancellations within three months of arrival will be subject to an administration fee of 20% of the total quoted charge. Acceptance of all cancellations will be confirmed by the Bush Capital Lodge in writing.
Final Group Numbers: Final numbers are required no less than 30 days before arrival. The Bush Capital Lodge must be advised at least three months prior to arrival if final numbers are going to vary from those initially provided at the time of booking. A significant variation may result in the reallocation of rooms within the Bush Capital Lodge to reflect the final numbers of the group.
The final Itinerary should be provided with the final group numbers to allow for meal planning.
A gender breakdown of numbers of male and female guests is required 30 days before arrival. Final room allocations are produced from this gender breakdown. The Bush Capital Lodge will provide the group a list of room numbers and room capacity prior to arrival.
Whole of Lodge Bookings: Schools or large groups preferring to have the full use of the lodge and its facilities can secure the exclusive use of the lodge by requesting a “whole of lodge” booking. A whole of lodge booking will be liable to pay for all 185 beds in the Bush Capital Lodge regardless of final numbers.
This will secure the lodge against any other bookings being held during your stay, and will allow your group the full use of all rooms and facilities available. This gives your group the option to specify your meal times and menu according to your groups’ needs.
Menus: Our standard catering options include breakfast and dinner served in our dining room, and a packed lunch supplied in cooler bags to be taken with the group each morning. Morning and afternoon tea are an optional extra and must be ordered separate to the lunch order.
Special dietary requirements can be catered for with prior arrangement. These requirements are based on medical requirement or religious belief and are not based on food ‘preferences’. If required, please provide in writing, a list of names and details no less than 14 days prior to your arrival, otherwise your special dietary requirements may not be able to be provided. Specific conditions may require the guest bringing a “support pack’ with them to supplement meals available. If there is any doubt, please contact Bush Capital Lodge Management staff to discuss this further.
Meal Times: Preferred meal times must be requested in advance and your itinerary must allow sufficient time for your activities and travel time to and from the lodge to meet the meal times scheduled. All group itineraries are taken into account when meal planning is finalised, so some adjustments to requested times may be necessary, and must be strictly adhered to.
Meal times will be confirmed on group arrival.
Breakfast times are from 6.30am to 8.30am.
Dinner times are from 5.30pm to 8.00pm.
Breakfast and dinner are served in the Banksia Lodge dining area next to the kitchen.
Terms and Conditions of any special offer: From time to time the Bush Capital Lodge may include special offers. Bookings already held will not be subject to change to reflect any such offers. Management has the right to withdraw any special offer up till the signing of this agreement between both parties.
